Executive Assistant

Provides administrative, secretarial and clerical support to the CEO and other professionals in the office to maintain an efficient office environment. The ideal candidate will exhibit professionalism and excellent communication skills; have an ability to take initiative and prioritize daily tasks; possess an ability to take charge and meet tight deadlines to ensure success.

Company Overview

 For more than forty years, Business Leadership Organized for Catholic Schools (BLOCS) has provided educational opportunities for children ages pre-K through 12th grade, throughout the Philadelphia and five county contiguous area of Pennsylvania.  Viewed as the premiere scholarship organization in PA, BLOCS partners with more than 100 Archdiocesan and more than 300 private Catholic and non-Catholic schools to provide over 17,000 scholarships each year to families in need.  BLOCS is the largest scholarship organization in the state which provides scholarships funded through Pennsylvania’s Department of Community and Economic Development’s Educational Improvement (EITC) and Opportunity Scholarship Tax Credit (OSTC) Programs.  BLOCS raises nearly $90M annually in private and corporate donations for families in the greater Philadelphia area.


Main Job Tasks and Responsibilities:

  • Assist with all Board and Board Committee meeting scheduling, planning and implementation

  • Execute Board and Board Committee package assembly, distribution and management

  • Assist with event planning and event management

  • Assist CEO and CFO with work tasks, schedules, correspondence, etc.

  • Conduct scheduling and calendar management for CEO

  • Schedule internal and external meetings

  • Assist with updating and maintaining databases such as: mailing lists, donor and school lists and donor and school information

  • Update and proofread documents, reports and correspondence

  • Update and proofread PowerPoint presentations

  • Update social media content and assist with monitoring social media

  • Assist with communications both internally and externally

  • Conduct light research and monitoring of local media for BLOCS relevant content

  • Receive, sort and distribute incoming mail

  • Monitor incoming emails and manage as appropriate

  • Maintain office filing and document storage

  • Conduct office administration including monitoring and maintaining of office supplies

  • Keep office area clean and ensure office equipment is properly maintained and serviced

  • Perform work-related tasks and errands as needed


Education and Experience:

  • Two- or four-year college degree

  • Five to seven years of administrative assistant experience preferred

  • Proficiency with Microsoft Office suite of software products

  • Experience with light spreadsheet work

Senior Accountant

Daily Responsibilities Include the Follow Activities:

  • Assist the Controller with numerous journal entries into the MIP General Ledger System, including the receipt of LLC and Corporate donations and ensuring the MIP General Ledger is reconciled to Salesforce

  • Assist the Controller with tracking of tax credit donations into the appropriate categories (designated, undesignated etc.) – reconcile to Salesforce

  • Interaction with business development team, providing updates on tax credit donations and school reports

  • Participate in cross-training on finance activities as well as Salesforce

  • Interaction with BLOCs Staff on various responsibilities

  • Assist Controller with the management of the FACTS Tuition System

  • Assist the Business Development Team with distribution of LLC agreements to donors via DocuSign and upload agreements to Salesforce

  • Assist with general office duties as needed


Monthly Responsibilities:

  • Assist the Controller with reconciliation of all general ledger accounts

  • Assist the Controller with preparation and review of the Monthly Trial Balance and related support schedules

  • Assist the Controller with preparation of all School Funding Reports, including the tracking of awards by category (Designated, Undesignated, Pre-K etc.)

  • Assist the Controller with the reconciliation of the General Ledger to Salesforce

  • Assist the CFO with monthly LLC-related reports (GMS K-1 Excel Spreadsheet etc.)


Other Responsibilities (Timing Varies):

  • Assist the CFO with the management of Scholarship LLCs, which includes numerous responsibilities throughout the year including the following: ongoing reconciliation of MIP General Ledger to Salesforce, audits of LLCs from the GMS Master K-1 Reporting Workbook to Salesforce and DocuSign Operating Agreements, review and distribution of donor and assist with K-1 related donor inquiries

  • Preparation and filing of all federal and state reports (PA REV-1123 reports, DCED Tax Credit Applications and PADOR LLC Compliance Reports)

  • Assist the Controller preparing Donor Reports to schools, which includes the creation of school donor reports for distribution

  • Assist the Controller with preparation for the annual audit (RSM)

  • Various special projects as needed
